Mission, structure and management
Mission: Continue the camaraderie of A Troop 4/12 Cav (Vietnam Era) through reunions, memorial services and communications.
Structure: The A-4/12 Cav shall be a nonprofit, nonsectarian, nonpolitical, nondiscriminatory veterans’ service organization.
Management: Troop Chairman shall follow up and provide input to ensure that A-4/12 Cav resolutions are acted upon. Chairman shall preside at all business meetings. Chairman shall be responsible for designating a back-up chairman. The Chairman shall have joint signatory power with the Treasurer for the A-4-12 Checking Account. The Chairman may request special committees, formed for specific purposes within a finite time frame. Leaders and members of these committees will serve until the completion of the project for which the committee was formed.
Troop Secretary shall be responsible for keeping the minutes of all meetings of A-4/12 Cav, shall keep a file of all correspondence of A Troop, and shall be responsible that all members of the Troop are properly notified of all meetings of the Troop in time for them to act on the notification. Upon leaving, Secretary shall turn over all his files to his successor.
Troop Treasurer shall be responsible for all funds, securities and properties of A-4/12 Cav and for the receipt and disbursement thereof. He shall keep full and accurate accounts of receipts and disbursements in books belonging to the A-4/12 Cav and shall deposit all moneys in the name and to the credit of the A-4/12 Cav in such insured depositories. The Troop Treasurer shall disburse the funds of the A-4/12 Cav as needed or as requested by the Chairman, taking proper vouchers for all disbursements and shall render to the Troopers at the annual meeting a full financial report based on the books and accounts. The Treasurer will provide a quarterly financial statement to Chairman showing all receipts and disbursements made to and from all accounts of the A-4/12 Cav. Treasurer shall ensure that current the Chairman shall have joint signatory power with the Treasurer for the A-4-12 Checking Account. Upon leaving, the Treasurer shall turn over to his successor all Troop funds, records, and files. We, as a group, agree to indemnify anyone who holds our funds in case the IRS messes with them.
Reunion Unit: This unit will plan and execute all details of the reunion for which it is
responsible. The Chairman and Treasurer shall work with members of this committee. The unit leader shall be responsible for where the reunion will be held, date, and all related details. Upon leaving, the Reunion Unit leader shall turn over to his successor all Troop funds, records, and files.
Roster Unit: This unit will coordinate efforts to locate and contact Troopers who served in the unit in Vietnam. It will maintain a database of Trooper contact information, verifying such data as it becomes available, and endeavor to keep contact information current. This database will be made available to the Troop in published form from time to time as agreed upon with the Chairman. Upon leaving, the Roster Unit leader shall turn over to his successor all Troop records and files.
Historical Unit: This unit shall be responsible for collecting historical information (Official and personal) on A Troop, 4th Squadron, 12th Cavalry from the period of March 1968 to December 31, 1971. This unit shall seek and encourage Troopers to submit their memories and photos to the website. Upon leaving, the Historical Unit leader shall turn over to his successor all Troop records and files.
Commo Net Unit: This unit will provide an email network forum for exchange of information, stories, and means of staying in touch with your fellow Troopers. Security shall be maintained on this communication network; nobody should be able to just surf in and read our communications. Commo net manager shall be responsible for management of the email list registered with the commo net host (currently Topica.com) and responsible for designating somebody else as a back-up list manager. This database will be posted to Commo Net Members from time to time as agreed upon with the Chairman. Upon leaving, the Commo Net Unit leader shall turn over to his successor all Troop records and files.
Website Unit: This unit shall be responsible for the continue growth and development of A Troop 4/12 Cav website. With special interest paid to the BROTHERHOOD REMEMBERED section. Upon leaving, the Website Unit leader shall turn over to his successor all Troop records and files.
Newsletter Unit: This unit shall be responsible for the publishing and mailing of a Troop Newsletter, a minimum of twice a year, to all troopers that Roster Unit has contact information on.
